Invoice/Credit Note Header - create template

This form allows you to create/amend template invoices, if your system is set up to use Accounts Payable Template Invoices.

To create template invoice batch:

The batch number for template invoices is always TEMP and is displayed automatically. Any new template invoices are simply added to this batch.
The prefix PI is added automatically to identify the batch as an invoice or credit note batch.
The Control amount and Default eff. date fields cannot be manually entered.
The number of template invoices in the batch is displayed as Items.

Select CR-Confirm to display the reference and supplier details.

In the Invoice field, type in an invoice number or reference (up to 10 characters) for this template invoice. For example, if this template is for a telephone bill, you could type in TEL BILL.

Any invoice numbers used within purchase order processing cannot be used again in accounts payable if you use purchase order processing.

If your system is set up to use AP Transaction Header Extensions or AR & AP Transaction Header Extensions and system key PLPAYREF is set to YES you will be able to type in an Ext. Invoice (extended invoice) number (up to 30 characters). If system key PLPAYREFU is also set to YES then the Ext. Invoice number must be unique. Also, if the system keys PLLASTINVN and PLINVNFORM are set up, the Invoice number field can be used to hold a common sequence number for both invoices and credit notes, generated when you select F6-Next.

In the Our Reference field you can type in a unique reference for this template invoice. For example if this is a telephone bill, you could enter the telephone number as the reference in this field.

Type in, or use F2-Browse to select, a Supplier code. This field is mandatory when you create template invoices, however you can apply the template of another supplier to your invoices, if the system key PLINVTSUP is set to YES.

Depending on how your system is set up, if the Payment hold indicator for the supplier is set to X or Z, an error message is displayed when you confirm the supplier. You cannot type in any more details for this supplier.

 
     
5 Select CR-Confirm to type in the invoice/credit note header details.
     

To finalise template invoice batch:

Once you have entered all the template invoice details, select one of the following:

  • CR-Confirm to enter another template invoice.
  • ESC-Exit to finish entering template invoices and return to the menu.
  • F5-Delete to delete the template invoice batch.
  • F10-Print to print the template invoice batch.


 

TIP

If you accessed this form via the Batches enquiry option and your system is set up to use Sales VAT Postings and you are not in a user group that is allowed to amend batches (defined by the PLMODBxxxx system keys, where xxxx is the user group) then you will not be able to amend any details. You will only be able to view, print and post the batch.
